AIX Group, LLC (“AIX Group,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what Personal Information we collect, how we use it, with whom we share it, how long we retain it, and the choices and rights you may have under applicable laws. This Policy applies to our websites, products, services, events, and any other interactions you have with AIX Group (collectively, the “Services”).

If you do not agree with this Policy, please do not use the Services. We may update this Policy from time to time; when we do, we will post the updated version and revise the “Effective Date” above.

How to contact us: Please submit all privacy-related inquiries and requests through the Contact Us form/button located at the bottom of our site. We do not accept privacy requests by email.

  • Sensitive Personal Information: Certain categories such as government IDs, precise geolocation, financial account/log-in credentials, health data, or information about children.

  • Controller: The entity that determines the purposes and means of processing Personal Information—here, AIX Group.

3.1 Information you provide directly
  • Contact & Account Data: Name, company, role, postal address, phone number, country/state, and similar.
  • Communications: Content of messages you submit via web forms (e.g., contact, demo, support) and any related records.
  • Transaction & Billing Data: If you purchase paid Services, we (or our payment processor) collect billing details. We do not store full payment card numbers; these are processed by PCI-certified processors.
  • Event & Webinar Data: Registration information and attendance/participation details.
  • Recruiting Data: Job applications, CV/resume, and similar.

3.2 Information we collect automatically
  • Device/Usage Data: IP address, device identifiers, browser type/version, operating system, pages viewed, links clicked, referring/exit pages, timestamps, and similar.
  • Cookies & Similar Technologies: We use cookies, pixels, SDKs, and tags to enable core functionality, remember preferences, measure performance, and support marketing/advertising where permitted. You can manage non-essential cookies through your browser settings and (where available) our cookie banner/preferences tool.

3.3 Information from third parties
  • Business Partners & Service Providers: We may receive lead/contact information, analytics, or enrichment data.
  • Public Sources & Social Platforms: Public profiles and posts if you interact with us on social media or public forums.

4) Purposes of Processing & Legal Bases

We process Personal Information for the following purposes (and, where applicable, rely on the indicated legal bases under GDPR/UK GDPR):

  1. Provide and improve the Services (contract; legitimate interests).
  2. Operate, secure, and troubleshoot our sites and systems, including fraud prevention and incident response (legitimate interests; legal obligations).
  3. Communicate with you, including responding to inquiries and providing administrative or service notices (contract; legitimate interests; consent where required).
  4. Marketing & analytics, including newsletters, product updates, educational content, and event invitations (consent where required; legitimate interests). You can opt out of marketing at any time (see Section 10).
  5. Process transactions & billing (contract; legal obligations).
  6. Compliance & legal defense, including enforcing terms, resolving disputes, and responding to lawful requests (legal obligations; legitimate interests).
  7. Recruiting & hiring (contract; legitimate interests; legal obligations).

We do not use your Personal Information to make automated decisions that produce legal or similarly significant effects without meaningful human involvement.

5) Categories Disclosed to Third Parties

We do not sell Personal Information. We may “share” Personal Information for targeted advertising only to the extent permitted by law and subject to your choices (see Section 10). We disclose Personal Information to:

  • Service Providers/Processors: Hosting, cloud storage, CRM, customer support, analytics, marketing, security, payment processing, and similar vendors who process data on our behalf under contractual safeguards (including appropriate data transfer mechanisms where applicable).
  • Business Partners: If you expressly engage with a co-sponsored event or joint offering.
  • Professional Advisors: Attorneys, auditors, and consultants under duties of confidentiality.
  • Authorities & Legal Recipients: When required to comply with law, regulation, legal process, or to protect rights, safety, and property.Corporate Transactions: In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to confidentiality and data protection requirements.

6) Sensitive Personal Information & Health Data

We do not require Sensitive Personal Information to use most Services. Please do not submit such data unless we explicitly request it for a defined purpose (e.g., identity verification).
 Healthcare context: AIX Group is not a healthcare provider and is generally not a HIPAA “covered entity.” If we process data on behalf of a covered entity, we will do so under a Business Associate Agreement (BAA) and any such PHI will be handled in accordance with HIPAA and the BAA.

7) Children’s Privacy

Our Services are not directed to children under 13 (or under 16 in certain jurisdictions). We do not knowingly collect Personal Information from children. If you believe a child has provided Personal Information to us, please use the Contact Us form so we can delete it.

8) Data Retention

We retain Personal Information only as long as necessary for the purposes described in this Policy, including to meet legal, accounting, and reporting obligations, resolve disputes, and enforce our agreements. Retention periods vary by data category and purpose; when no longer needed, we will delete, de-identify, or aggregate the data consistent with applicable law.

9) Security

We maintain administrative, technical, and physical safeguards appropriate to the nature of the Personal Information we process. No method of transmission over the internet or method of electronic storage is 100% secure; therefore, we cannot guarantee absolute security.

10) Your Choices

  • Marketing Opt-Out: You may opt out of marketing communications at any time by using the unsubscribe link in our messages. Transactional or service-related notices may still be sent.
  • Cookies & Tracking: Manage cookies in your browser settings and (where available) via our cookie banner/preferences center.
  • Targeted Advertising (where applicable): You may opt out of sharing for cross-context behavioral advertising or targeted advertising by submitting a request via our Contact Us form/button and adjusting your cookie preferences.

11) Your Privacy Rights

Depending on your location, you may have rights such as:

We will verify your identity to a reasonable degree (e.g., by matching information we already maintain). You may also authorize an agent to submit a request on your behalf where permitted by law; we may require proof of authorization and identity.

EU/UK Residents: You also have the right to lodge a complaint with your local supervisory authority. We encourage you to contact us first so we can address your concern.

12) California & U.S. State Law Disclosures (CPRA/CPA/VCDPA/etc.)

12.1 Notice at Collection

We collect the following categories of Personal Information (examples in parentheses) for the purposes listed in Section 4 and retain them as described in Section 8:

  • Identifiers (name, email, IP address, device IDs)
  • Customer Records (billing address; partial payment info via processors)
  • Commercial Information (transaction history, service interactions)
  • Internet/Network Activity (log data, pages visited)
  • Geolocation Data (approximate, derived from IP)
  • Professional/Employment Information (role, employer)
  • Inferences (preferences or interests inferred from usage)
     We do not collect biometric templates. We only collect Sensitive Personal Information where strictly necessary and for limited purposes (Section 6).

12.2 Sale/Sharing/Targeted Advertising

We do not sell Personal Information. We may “share” Personal Information for cross-context behavioral advertising or engage in targeted advertising consistent with your choices. You can opt out via the Contact Us form/button and by configuring cookie preferences.

12.3 Financial Incentives

If we offer promotions, referrals, or loyalty benefits that are considered “financial incentives,” we will present a description of the material terms at enrollment, including how to opt in and how to opt out at any time.

13) International Data Transfers

If you access our Services from outside the country where our systems or providers are located, your information may be transferred internationally (including to the United States). Where required, we implement appropriate safeguards for cross-border transfers, such as Standard Contractual Clauses (SCCs) and supplementary measures.

Our Services may include links to third-party websites, plug-ins, or services. Those third parties operate independently and have their own privacy policies and terms. We are not responsible for their content or practices. Please review their policies before providing any Personal Information.

15) Payment Processing

Payments are handled by third-party processors that are PCI-certified. They may collect and process your payment card data directly on their systems. We receive limited information necessary for records (e.g., transaction ID, last four digits).

16) Changes to This Policy

We may update this Policy from time to time to reflect operational, legal, or regulatory changes. Material changes will be highlighted on this page. Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
